Privacy notice
Somer Valley Hub is an internal volunteer platform. This notice explains what personal data it holds and why.
What we store
- Your name and email address, so you can log in and be contacted about volunteering.
- Optionally, a profile photo and the name of a show you present — only if you choose to add them.
- Content you create on the platform (posts, comments, and private messages).
- Basic security records (login attempts, administrative actions) kept to protect accounts.
How it's protected
- Passwords are stored using strong one-way hashing — nobody, including administrators, can read them.
- Data is held on our own server and is not shared with third parties, except your email address, which is passed to Brevo (our email provider) solely to deliver notifications to you.
- Private messages are visible only to their participants unless a participant reports a conversation.
- GIF search (if enabled) is proxied through our own server — your searches are forwarded to our GIF provider (KLIPY) without your name, account, or IP address.
Your rights
Under UK GDPR you can download a copy of your data or delete your account yourself at any time from My account — no need to ask anyone. Deleting your account erases your personal details, private messages, and notifications; posts you wrote remain as organisational records, shown as "Former member". Security logs are kept for up to 2 years and email delivery logs for up to 1 year, then deleted automatically. We only use essential cookies (your login session), so no tracking or consent banners are needed.
